KEYS LOST, REORDERING KEYS OR LOCKED OUT

Did you lose your keys? Would you like to have an extra key or did you lock yourself out?
What you should do depends on where you live.

  • I have lost my key(s)

    1.    Your room or front door key
    Contact Vastgoed Service. They can engage a locksmith for you at a favorable rate.You can also contact a locksmith to replace the lock of your room/house. You are responsible for paying any expenses incurred by this action.

    Do you live in shared accommodation? Go to your student warden. They normally have a spare key for you. If not, please contact Vastgoed Service and ask to have the lock replaced.

    Did you lose an electronic (salto) key? Then please come to the DUWO office and bring a valid ID. An electronic (salto) key costs €20.

     In most cases DUWO has a spare key that you can purchase. Don’t forget to bring a valid ID! The cost of a new key depends on the type of lock.

    2.     Letter box key
    DUWO has no spare keys. You can have a locksmith put a new lock on your mailbox.

     In most cases DUWO has a spare key that you can purchase. If not, then we will replace your mailbox lock. Note: there are charges involved.

    3.      Storage area or bicycle park key

    Bicycle shed Borrow a key from a room-mate and have it duplicated at a locksmith. You can also contact DUWO and order a key.

  • I want to reorder a key

    1.     Your room or front door key
    Only DUWO can have additional certified keys made. Let us know the key number and what door the key is meant for via the contact form. The costs of having an extra key made depend on the type of key. Non-certified keys can be duplicated at a locksmith.

  • I have locked myself out

    Contact Vastgoed Service. Their employees can urgently arrange a locksmith for you to open your door or have the lock replaced. There are costs associated with this. You can also directly engage a locksmith yourself to replace the lock of your room/home. The costs for this are for your own account

     tenants can come by during office hours for a spare set. You can borrow a set of keys, but they must be returned to DUWO the same day. Bring along your ID.  PLEASE NOTE: we do not have spare keys for PhD long-stay homes.

Handing over the keys

Are you renting a student room with shared facilities or a self-contained students’ residence?
Usually you can make an appointment with the previous resident for handing over the keys. Make sure that you will receive the keys on the startdate of the contract.

Has the previous resident already left or do you rent a self-contained non-student residence?
Please come to the DUWO office on the startdate of the contract to pick up the keys; call us first to check if we have the keys. If the startdate of the contract falls on the weekend, you can collect the keys on the next workday. It is also possible to ask someone else to collect your keys at the DUWO office.

To do this, you must fill in a key pick-up authorization form with the full name and date of birth of this person, in which you authorize him or her to collect your keys. We ask the person who comes to collect the keys for proof of identity.

Handing over the keys

Your educational institution & DUWO will sometimes organize special key pick up days for students at the beginning of each semester. In that case, you will receive an invitation by email from DUWO to collect your keys at an agreed time and place.

Have you not been informed about the key pick up? Then you can simply pick up the keys at the DUWO office during opening hours. Don’t forget to bring valid proof of identity (passport or ID card).

On the start date of your contract, your room will be available from 01.00 PM onwards. If you arrive earlier or outside business hours, you will need to find yourself a temporary place to stay. Does the start date of your tenancy agreement fall on a weekend or on a public holiday? Then you can collect your key the next working day after 01.00PM.

You could also ask someone else to collect your keys. To do this, you will need to complete a key pick-up authorization form with the full name of the relevant person, stating that you authorize this person to collect your keys.

HANDING OVER THE KEYS

Handing over the keys

You may hand over the keys to the new tenant yourself. In most cases, the new tenant will contact you regarding the handover. Make sure that the set of keys is complete and that you have handed them over by the end date of your contract at the latest. This means: the key(s) to all (access) doors, as well as the key to the (bicycle) storage area and/or the mailbox key, if applicable. If the new tenant does not receive all keys from you, or does not receive them on time, the costs for replacing the missing keys or, if necessary installing new locks, will be charged to you.

I’M MOVING OUT OF MY ROOM OF DUWO UNIVERSITY HOUSING

Will you be moving out of your DUWO University Housing room soon? Take a look at the step-by-step procedure below to see what you need to arrange before you move.

For most DUWO University Housing contracts, the tenancy agreement cannot be terminated prematurely. On your educational institution’s page, under the “Important Conditions” tab, you will find all the information you need about early termination of your rental agreement.

Do you have a contract that you can terminate? Then you can do this via your DUWO account. If you are unsure whether terminating your contract is possible or not, you can check this when you log in to your account.

LOG IN TO TERMINATE YOUR TENANCY AGREEMENT

  • Submit departure date
  • SUBMIT OR CHANGE DATE OF DEPARTURE
  • You have the option of moving out of your DUWO University Housing before the end date stated in your tenancy agreement. You pay rent until the end date of the tenancy agreement. If you leave earlier, let us know promptly via DUWO.nl.

  • Inspection by the caretaker
  • We inspect your room before your tenancy agreement expires. We will notify you when our inspection visit will take place. You may be present during this inspection, but this is not mandatory. If you leave your room early, make sure you leave everything tidy (see next step).

  • End of tenancy cleaning
  • Thoroughly clean your house before you move out. If you have a furnished room, check this this flyer to see how we expect you to clean your room before moving out. Check this flyer if your room is unfurnished. Do you live with housemates? Then divide the work of cleaning the shared facilities among all of you.

  • You must hand in your keys before 10 am on the day of your departure. You can either return them to a DUWO office, or deposit them in the DUWO mailbox at your address, if there is one (you can find out more about the DUWO mailbox in My residence).
  • Please place the keys in an envelope on which you have written your address, or attach an address label to the key(s).

  • Deregister with the municipality
  • If you are moving out of your room of DUWO University Housing, then you must inform the municipality. The municipality will deregister you from the Municipal Personal Records Database [Gemeentelijke Basisadministratie (BRP)].

    • I am renting a PhD Long Stay room through DUWO University Housing. Can I also hand over my items?

If the new tenant is known, you can make an arrangement with him/her on taking over items and handing over the keys. PhD Long Stay rooms are unfurnished.
